The first year of a new commercial building sets the pattern for every year after it. We take new office, retail, and industrial buildings in Bozeman, Belgrade, and the Gallatin Valley from delivery to fully operational, with contracts, budgets, tenants, and warranties set up correctly from day one.
Why it matters
New buildings come with a long list of first-time decisions: which vendors to hire, what the first CAM budget should be, how utilities get split between tenants, and who tracks the dozens of equipment warranties that start running the day the building is delivered. When those decisions are rushed, owners pay for it later through underestimated budgets, service contracts that were never bid, tenants billed on the wrong basis, and warranty claims that expire before anyone files them.
We have taken brand-new commercial buildings through this process before. Bringing us in before delivery means the building opens with its systems, contracts, and accounting already in place.
Our process
Before delivery
We review leases and plans with you, build the first-year operating and CAM budgets, and outline the FF&E budget for common areas so estimates are realistic from the first invoice.
Service contracts
We competitively bid janitorial, snow removal, landscaping, waste, HVAC maintenance, fire and life safety, and other recurring services, then set up vendors with clear scopes and insurance on file.
Utilities and metering
We transfer utilities, confirm how each is metered, and set up any submetering or allocation method so tenants are billed exactly as their leases require.
Warranty and closeout tracking
We collect closeout documents and O&M manuals from the contractor, log every system warranty with its start and end dates, and manage punch list items and warranty claims.
Tenant onboarding
We coordinate move-ins, set each tenant up in the portal for rent payment and maintenance requests, and walk tenants through building procedures and contacts.
First-year review
At the end of the first year we compare actual costs to budget, complete the first CAM reconciliation, and adjust estimates and contracts based on how the building really runs.
What you get
New building onboarding leads directly into full-service management with MVM, so the person who set up your building is the one who keeps running it.
