Every building we manage in Bozeman, Belgrade, and the Gallatin Valley gets a full reconciliation of common area maintenance, taxes, and insurance each year. Every charge is tied back to the lease, so recoveries are complete and tenant questions are easy to answer.
Why it matters
On a NNN or modified gross lease, CAM is where owners quietly lose money and where tenant relationships get strained. Expenses get coded to the wrong pool, pro-rata shares drift after a remeasure or a new lease, caps and base years get applied inconsistently, and gross-up provisions are skipped on partially occupied buildings.
We start from each lease's actual language, build the expense pools and exclusions around it, and produce statements a tenant's accountant can check line by line. When we take over a building from a previous manager, we review prior reconciliations as part of onboarding and correct billing going forward.
Our process
Lease abstract
We abstract every recovery clause: pro-rata share, expense inclusions and exclusions, caps, base years, admin fees, and gross-up terms.
Expense review
We review the year's general ledger, recode misclassified expenses, and separate capital items from recoverable operating costs.
Reconciliation
We calculate each tenant's share against estimates paid, applying caps, gross-up, and admin fees exactly as each lease allows.
Owner review
You see the full reconciliation, the assumptions behind it, and any open issues before anything goes to tenants.
Tenant statements and follow-up
Tenants receive clear, itemized statements. We answer their questions, collect balances or issue credits, and reset monthly estimates for the new year.
What you get
CAM reconciliation is part of full-service management at MVM, not an add-on. It runs alongside monthly reporting, budgeting, and lease administration, so the numbers stay clean all year instead of getting sorted out in March.
